Terms of Service

1. Your booking and package

Submitting an inquiry does not reserve a date. A booking is confirmed when we accept your signed booking agreement and receive the payment required by that agreement.

Your written agreement identifies your event location, guest-count tier, package, service hours, staffing, included supplies, add-ons, travel charges, and total price. It also sets payment deadlines, cancellation and rescheduling terms, and any applicable refund conditions. These terms supplement that agreement. If they conflict, the signed agreement controls, subject to applicable law.

All three packages include beer and wine service plus two selected signature cocktails, mixers, juices and garnishes for those cocktails, ice, cups, napkins, drinking water, a personalized drink menu, and an alcohol shopping list. You purchase the alcohol. Hitch & Harmony adds sound-system setup and playlist playback. The Whole Celebration adds coordinated styling around the trailer bar, signage, accents from our decor collection, and a styling planning call with Cindy.

Your accepted quote confirms these inclusions and any agreed changes or extras. Website images are illustrative. Later website changes do not change an existing signed agreement without mutual written agreement.

2. Service hours, additional time, and guest counts

Our standard packages include three hours of service unless your agreement states otherwise. Setup and breakdown are scheduled separately and are not guest-serving time.

Additional hours are priced by guest count and apply equally to The Happy Hitch, Hitch & Harmony, and The Whole Celebration:

Guests receiving bar serviceAdditional service time
Up to 50$150 per hour
51–75$200 per hour
76–100$250 per hour

Music continues during additional booked hours for Hitch & Harmony and The Whole Celebration. Please arrange extra time in advance. Event-day extensions require approval by THH and the host or authorized event contact and depend on staffing, venue restrictions, and availability. Your agreement will confirm the applicable rate and how partial hours are billed. Rates already accepted in a booking agreement are not changed by later website updates.

Count everyone receiving bar service, including guests having alcohol-free drinks. Events with more than 100 guests require a custom quote. Please provide an accurate count and promptly report changes. An increase may require a different tier, more supplies, or additional staff. We will confirm changes and charges in writing. We may limit service to the agreed capacity when unapproved increases would prevent safe service.

Delays caused by unavailable access, missing host-provided supplies, or other host-controlled conditions do not automatically extend the scheduled end time. Any resulting charges or reduction in service are governed by the booking agreement. Delays attributable to THH will be addressed through an agreed extension, adjustment, or refund for the affected service, as appropriate.

3. Customer-purchased alcohol and supplies

THH provides bartending and event services. Alcohol is not included in our package prices. The host must purchase and arrange delivery of all alcohol to the event before service begins. THH does not purchase alcohol for reimbursement, accept prepaid alcohol orders, deliver alcohol purchased on the host’s behalf, or sell drinks under this service arrangement.

Shopping lists and quantity estimates are planning assistance, not a guarantee that supplies will last. Actual needs depend on guest preferences, attendance, menu selections, pour sizes, and event duration. The host is responsible for the quantity, quality, and timely availability of all items assigned to the host in the agreement.

THH is not responsible for shortages caused by insufficient or unavailable host-provided alcohol or supplies. We may offer available alternatives or pause affected service. A host-caused shortage does not itself entitle the host to a refund of staffing or rental charges. Leftover alcohol remains the host’s property and must be collected by a responsible adult at the end of service. THH does not return it to the retailer.

4. Lawful events and venue permission

The host must disclose whether the event is private, public, ticketed, a fundraiser, or held at an alcohol-licensed venue. Admission charges, donations, alcohol sales, or other event arrangements can change licensing requirements. Do not assume customer-purchased alcohol makes every event exempt from licensing rules.

The host must obtain property-owner and venue approval and fulfill permit, insurance, and event requirements assigned to the host. THH remains responsible for requirements applicable to its own operations. We may decline or suspend service if the arrangement is not lawful or required approvals are missing. Requests to charge guests for alcohol require a separate lawful arrangement and written approval before the event.

5. Age verification and identification

Alcohol is served only to guests age 21 or older. Every guest requesting alcohol must be prepared to present a valid, original, unexpired identification acceptable under California ABC guidance, such as a qualifying government-issued driver license or ID, passport, or military ID.

As a THH house policy, photos, screenshots, photocopies, expired documents, and verbal assurances are not accepted as proof of age. Staff may request identification again and may refuse service when age, identity, or the authenticity of an ID cannot be reasonably verified. The host’s permission does not override this policy.

6. Responsible service and drink limits

THH’s service policies are informed by California Department of Alcoholic Beverage Control guidance and Responsible Beverage Service principles. Staff will not serve alcohol to anyone under 21 or anyone who is obviously intoxicated. We may also pause or refuse service when we reasonably believe it would create a safety risk or violate the law.

Our house policy is one alcoholic drink per verified recipient at a time. Staff control pour sizes and may slow service, suggest water or food, or decline additional drinks. Shots, doubles, and participation in drinking games are not part of our standard service.

A package provides a period of service, not a guaranteed number of drinks per person. No hourly drink count guarantees sobriety, eligibility for another drink, or fitness to drive. Menu alcohol-strength estimates are approximate and are not measures of a guest’s impairment.

7. No proxy orders or passing drinks

The person who will consume an alcoholic drink must be present for staff to verify age and assess whether service is appropriate. Guests may not collect alcoholic drinks for absent recipients, pass drinks to someone under 21, or obtain drinks for a person who has been refused service. Ask staff about an accessible handoff arrangement if needed; age and service checks still apply.

Hosts and guests must not circumvent a refusal through another guest, a separate alcohol source, or self-service. Staff may refuse an order, stop serving the individuals involved, or suspend bar service if this occurs. A guest’s later transfer of a drink is prohibited, but this policy does not remove THH’s own legal service obligations.

8. Youth supervision and the bar safety area

As a THH safety policy, guests under 21 must remain outside the marked alcohol-service area, ordinarily extending at least five feet from the alcohol-serving counter. This is our house rule, not a statement that California requires a universal five-foot separation. We will identify the boundary with the host during setup and may require more clearance when equipment or conditions warrant it.

Nonalcoholic drinks for younger guests will be handled at a designated pickup location or through a staff-directed arrangement outside the alcohol-service queue. Parents and guardians remain responsible for supervising children. Children must not play around the trailer, hitch, wheels, supports, cables, speakers, or decorations. Guests of any age may not enter the trailer or go behind the bar without staff permission.

9. Property access, placement, and utilities

The host must provide accurate location information and a safe, legal, unobstructed route for delivery, placement, and removal. Please disclose gates, narrow turns, slopes, soft ground, low branches, overhead lines, stairs, parking restrictions, irrigation, septic systems, and other obstacles before booking.

The trailer requires firm, reasonably level ground and sufficient clearance for the tow vehicle, turning, open hatches, service queue, and equipment. THH will confirm required measurements and placement for the specific event. Staff have final authority to decline an unsafe route or setup location. We will not force access, move the trailer over unsafe terrain, or block emergency or accessible routes.

Travel charges may apply based on the event location and will be included in your quote. We will confirm space and power requirements before booking. Any power, water, lighting, shelter, parking, or other facilities assigned to the host must be ready at the agreed arrival time. A replacement location or extra equipment requires approval. Any charges or cancellation consequences for materially undisclosed access problems will follow the terms disclosed in your booking agreement.

10. Menus, allergies, sound, decor, and cleanup

Menus and special requests must be agreed upon before the event. Please tell us about relevant food allergies or dietary requirements without sending unnecessary medical details. Ingredients and garnishes may contain common allergens, and our shared bar environment cannot guarantee an allergen-free preparation area. We may decline requests we cannot accommodate safely.

Hitch & Harmony and The Whole Celebration include sound-system setup in one location and playback of your playlist or a complimentary THH playlist throughout booked bar-service hours. MC hosting, announcements, timed ceremony cues, and event coordination are not included. Custom playlist curation is available for $125 when added to your quote. Ask about separate DJ/MC arrangements if those services are needed. Venue volume limits, curfews, electrical requirements, and any assigned music permissions apply.

The Whole Celebration includes styling around the trailer bar using our available decor collection, coordinated drink-menu and welcome signage, decorative lanterns and tabletop accents, floral or greenery accents from that collection, and a planning call with Cindy. Fresh flowers, specialty purchases, and decorating beyond the bar area are quoted separately. Exact items and colors depend on the agreed design and availability. Rental items remain THH’s property. Guests may not move equipment, attach items to the trailer, or take decorations without permission.

Cleanup covers our bar area and equipment. General venue cleanup and collection of cups or other waste throughout the property are not included unless separately agreed in writing. Promotional images are illustrative; final presentation depends on the booked items, venue, and agreed design.

11. Unsafe conditions, interruptions, and cancellations

We may pause, relocate, or stop service because of unsafe weather, electrical hazards, threats, harassment, violence, unlawful activity, interference with responsible service, or instructions from the venue or authorities. We will explain the issue to the host when practical and seek a safe solution. Immediate danger may require an immediate shutdown.

Cancellation, postponement, weather-related changes, and refunds follow your signed agreement and applicable law. A safety shutdown does not automatically mean that every payment is forfeited. Any retained charges must be supported by the agreement and the circumstances. If THH cannot perform, we will discuss rescheduling or refunding unperformed services, subject to the agreement and applicable law.

12. Responsibilities, damage, and liability

THH is responsible for performing its agreed services with reasonable care and complying with its legal obligations. The host is responsible for the accuracy of event information, permissions and facilities assigned to the host, guest supervision, and cooperating with reasonable safety instructions.

The host must take reasonable steps to keep guests from interfering with service or accessing restricted equipment. To the extent provided by the booking agreement and permitted by law, the host is responsible for documented damage caused by the host or guests to THH property, excluding ordinary wear and damage caused by THH.

Alcohol consumption carries risks. Guests are responsible for their own choices, and the host should arrange safe transportation options. THH does not provide medical supervision or guarantee any guest’s sobriety or ability to drive. Hosts must disclose other alcohol sources so we can plan service responsibly; outside consumption may affect whether further service is appropriate.

To the extent permitted by law, THH is not responsible for losses caused solely by host-provided shortages, inaccurate access information, independent vendors, or guest conduct outside THH’s reasonable control, where THH did not cause or contribute to the loss. Responsibility for any claim depends on the applicable law, contract, and facts. Nothing in these terms releases liability for fraud, willful misconduct, gross negligence, unlawful conduct, or any other liability that cannot legally be excluded or limited.

13. Questions and disputes

Please contact us promptly about an event concern so we can try to resolve it. California law governs these service terms to the extent applicable, without limiting any mandatory consumer rights. Changes to these website terms apply prospectively and do not retroactively alter confirmed bookings.

Privacy Policy

1. Information you provide

When you inquire about or book an event, we collect the information you provide, which may include your name, phone number, email address, event ZIP code and location, event date and type, guest count, package preferences, and messages. If you book, we also maintain relevant agreements, invoices, payment records, and event-planning correspondence.

Please do not send card numbers, Social Security numbers, ID images, or unnecessary sensitive information through our inquiry form or ordinary email. Payment providers, when used, process payment details under their own terms and privacy policies. We may receive transaction status, billing details, and limited payment references needed to administer your booking.

2. Website and technical information

Our website, hosting provider, and security tools may process information such as IP addresses, browser and device information, request timestamps, referring pages, and activity needed to operate and protect the site.

Our inquiry form uses WPForms within WordPress. Form information is processed through our website and email delivery systems to deliver and manage inquiries. Depending on enabled storage and backup features, copies may be retained in our website systems, email accounts, and service-provider systems. Information is not confined to the visible form itself.

3. How we use information

We use information to respond to inquiries, prepare quotes, plan and deliver events, communicate about bookings, process and document payments, provide support, protect our systems, and meet legal or recordkeeping obligations. We also use website analytics to understand which pages and services visitors find useful.

Submitting an inquiry allows us to respond about that inquiry. It does not automatically enroll you in a marketing email or promotional text campaign. Any separate marketing communications will include applicable choice or unsubscribe options.

4. Cookies and Google Analytics

We use essential technologies needed to operate and secure the website and optional Google Analytics 4 measurement to understand website use. Analytics may collect page views, interactions, referral information, device and browser information, approximate location, and cookie or device identifiers.

Google Analytics uses cookies such as _ga and ga[identifier] to distinguish visits and sessions. Cookie duration depends on our configuration and your browser. Analytics identifiers are not the same as anonymous information simply because they do not contain your name.

We use Analytics for website measurement, not advertising personalization or remarketing. We do not intentionally send names, email addresses, phone numbers, or the contents of inquiry fields to Google Analytics.

You can manage, block, or delete cookies through your browser settings. Google also offers an Analytics opt-out browser add-on for supported browsers. Cookie controls and the add-on have different scopes and do not necessarily prevent all technical information from being processed by our hosting or security providers. Blocking essential cookies may affect website functions.

For privacy questions or requests concerning information we hold, email info@happyhitchbar.com or call (951) 757-5403. You may also contact us directly instead of using the inquiry form. Contacting us does not automatically change browser settings, disable tracking on your device, or reverse information already transmitted to a service provider. We will respond to your request and explain available options, subject to applicable law.

For more information, see Google’s Privacy Policy, how Google uses information from sites that use its services, and the Google Analytics opt-out browser add-on.

5. When information is disclosed

We disclose information as reasonably needed to service providers supporting website hosting and maintenance, forms, email delivery, analytics, payment processing, bookkeeping, and event operations. For example, an event assistant may receive the location and schedule needed to perform their work. We seek to limit access to what is needed for the relevant purpose.

We may also disclose information when required by law, to protect safety and legal rights, to resolve claims, with your direction or permission, or in connection with a business transfer subject to applicable privacy obligations.

We do not sell personal information or share it for cross-context behavioral advertising. Google and other providers may process technical information under their own policies and applicable agreements. Service providers may process information in the United States or other countries where they operate.

6. California Do Not Track disclosures

Our website does not currently change its behavior in response to a browser’s legacy Do Not Track signal. Browser cookie controls and Google’s Analytics opt-out tool are described above. Where applicable law requires us to honor Global Privacy Control or another recognized opt-out signal, we will honor that signal for the processing it covers.

Third-party providers, including Google when analytics is enabled, may collect information about your interaction with this website and, depending on their services and settings, your activity across other websites over time. Their privacy policies explain their practices and controls.

7. Retention and security

We retain personal information for as long as reasonably necessary for the purposes described here, including responding to inquiries, completing bookings, keeping business records, resolving disputes, and meeting legal obligations. The appropriate period depends on the type of information, whether you book an event, applicable recordkeeping requirements, and pending claims. Analytics data is subject to the retention settings for our Analytics account and Google’s applicable practices; aggregated reports may be retained differently from individual event data.

We use reasonable administrative and technical safeguards appropriate to our business. No website, email service, or transmission method can guarantee absolute security. When information is no longer needed, we delete or de-identify it as appropriate, subject to legal retention needs and backup-system limitations.

8. Your choices and requests

You may contact info@happyhitchbar.com to ask about personal information we hold, request a correction or deletion, or ask us to stop optional marketing communications. We may need to verify your identity before providing or changing personal information. We may retain information needed for legal obligations, security, outstanding transactions, or legal claims.

Additional access, deletion, correction, opt-out, or other rights may apply depending on your location and whether the relevant law applies to our business and processing. We will handle applicable requests within legally required timeframes and will not discriminate against you for exercising rights protected by law.

9. Children, event IDs, and photographs

Our website and booking process are directed to adults. We do not knowingly collect personal information online from children under 13. If you believe a child has provided such information, contact us so we can review and delete it as appropriate.

At events, we may inspect identification to verify age and identity before serving alcohol. Our standard practice is visual inspection, not photographing or retaining copies of guest IDs. We may document necessary facts about a service refusal or safety incident for business and legal purposes.

We seek appropriate permission before using identifiable guest photographs for promotional purposes, including parent or guardian permission for identifiable children. Booking an event does not automatically authorize advertising use of every guest’s image.

Other websites linked from this site have their own privacy practices. We are not responsible for their policies or operation.

We may update this policy to reflect changes in our services, technology, or legal obligations. We will post the revised policy and effective date on this page and provide additional notice or obtain consent where required by law. A policy update does not itself substitute for any consent required for a new use of information.
